1. Purpose
This policy sets out how images (photos, videos, or any other visual media) of students may be taken, used, and stored at NCG. Its aim is to protect students’ privacy while allowing NCG to document activities and promote the colleges responsibly.
2. General Principle
With consent of the subject(s), images of students should only be taken:
- At NCG facilities or accommodation, or
- During NCG-organised activities
3. Students Taking Images
- If a student takes a picture or video of other students, they must ask for consent from all students appearing in the image.
- If any student withdraws consent or an image was taken without consent, the student who holds the image must delete it immediately.
- Failure to delete images without consent may result in disciplinary procedures under the Student Code of Conduct.
4. NCG Taking Images
4.1 Marketing and Promotional Use
- On arrival or pre-arrival, students will be asked whether they consent to their images being used for promotional purposes (e.g., brochures, website). Students can opt in or opt out.
- Students may change their consent status by contacting college reception.
4.2 Social Media
- Staff may take images for social media posts to share updates about college life.
- Due to practical constraints, verbal consent from individuals in the frame is sufficient for social media use.
- Verbal consent is specific to the moment of capture and does not override prior opt-out preferences for other uses.
5. Students Under 18
- For students under 18, consent must be obtained from both the student and a parent/guardian for any promotional use.
- Staff may ask under-18 students to step out of images if there is any doubt about consent.
6. Retracting Consent
- Students (or parents/guardians for under-18s) may retract consent at any time by contacting info@newcollegegroup.com with:

- Who consent is retracted for, and
- A precise description of where the image appears.
- NCG will remove the image within 30 days from online platforms or internal use.
- This does not apply to marketing materials already published where specific written consent was obtained.
7. Responsibilities
Students: Must seek consent and delete images if requested.
Staff: Must ensure consent is obtained for all promotional images and follow this policy when using images online or in marketing materials.
